Events Coordinator (Part-time)

FUNCTION AND REPORTING STRUCTURE
The Events Coordinator has the primary responsibility to ensure the fundraising success of the revenue-generating special events of the National Kidney Foundation of Wisconsin (NKFW).
The Events Coordinator reports directly to the Chief Executive Officer.

KEY RESPONSIBILITIES

COMMUNITY SUPPORT/FUNDRAISING
Metrics:
Secure in-kind sponsors and contributions for NKFW fund-raising events to reduce event expenses and to meet the annual net revenue budget goals for each event
Increase year-over-year first-time participation and retention of past participation of individuals, groups and corporations/businesses

Tasks:
Recruit volunteer leaders for individual event committees and sub-committees.
Train and manage event committees/meetings and event-day volunteer corps.
Plan and implement event day activities to generate revenue.
Collaborate with Community Engagement Coordinator to increase the retention of prior year’s attendees and supporters.

EVENT PRODUCTION
Metrics:
Create 4-Star event experience for attendees, sponsors, and volunteers
Meet or exceed attendance and net revenue goal for each event

Tasks:
Develop a 12 month tasks and key milestones timeline for each event.
Serve as lead staff liaison with facility personnel, contractors, vendors, and volunteers.
Responsibility for the seamless execution of facility and event day logistics.
Coordinate pre-event training and activities of event-day volunteers.
Gather and compile feedback from participants, attendees, and volunteers for each event.
Ensure timely recognition of sponsors, contributors, attendees, and volunteers for each event
Maintain electronic and hard-copy files of relevant event-related communications, correspondence and financial or contractual documents.

EVENT PROMOTION
Metrics:
Increase financial support from participants in each fundraising event

Tasks:
Collaborate with other staff to develop, implement, and evaluate event-related marketing and communications strategies, timeline execution and effectiveness.
Provide input for relevant event-related print, social media, mobile, web, and electronic communication.
Coordinate with other staff to ensure ‘event capture’ activities for each event (photography, video, audio, social media, and live-streaming).

DONOR STEWARDSHIP
Metrics:
Ensure all benefits and recognition is given to all sponsors andcontributors for each event
Ensure event participants in each event have a positive experience

Tasks:
Ensure acknowledgement and recognition milestones are included in each event plan and timeline.
Responsible for all acknowledgements or recognition activities during each event.
Network actively at each event to build relationships with participants, sponsors, contributors and volunteers.
Coordinate acknowledgement process and completion of post-event data entry for sponsors, supporters, participants and volunteers for each event.
Provide input to year-round communication strategies to maintain/expand donor/volunteer relationships with the NKFW.

OTHER
Metrics:
Serve as a collaborative staff support or team member to ensure positive experience for participants in any NKFW programs, activities, or events

Tasks:
Willingness to offer creative ideas and suggestions on how to improve the overall quality of NKFW processes and operations.
Provide staff support for other NKFW sponsored community screenings, educational programs or trainings as requested.

QUALIFICATIONS:

  1. Degree in sports, facilities, or event management preferred; applicable work experience may substitute for the degree.
  2. Demonstrated experience with behind-the-scenes event production, logistics, and/or volunteer management.
  3. Must have a valid Wisconsin driver’s license, proof of insurance coverage, and access to a reliable personal transportation.
  4. Must be able to stand for 1-2 hours at a time and be able to lift at least 25 pounds.
  5. Proficiency using the Web for research and related software for project and committee management or event administration.
  6. Proficiency using Outlook, Word, Excel, and PowerPoint.
  7. Experience with telephone solicitation, in person customer service, or public speaking a plus.
  8. Ability to work effectively with individuals from diverse backgrounds.
  9. Ability to manage several projects simultaneously.
  10. Commitment to detail and accuracy.
  11. Able to write coherent written business communication.
  12. Comfortable working in a small, collaborative office environment.
  13. Experience coordinating the activities of groups of volunteers staffing events preferred.
  14. Able to provide at least 3 references who will offer at least 4 examples of a candidate’s: integrity, empathy, initiative, time management, stress tolerance, creativity, collaborative skills, and/or cross-generational and multi-cultural communication skills.
  15. Non-smoker preferred.
  16. Must have schedule flexibility to accommodate weekend or evening meetings or events.
  17. Bi-lingual (English/Spanish) a plus.

Community Engagement Coordinator (Part-Time)

FUNCTION AND REPORTING STRUCTURE
The Community Engagement Coordinator is responsible for increasing engagement, utilization and participation in National Kidney Foundation of Wisconsin (NKFW) services, programs and revenue-generating events.
The Community Engagement Coordinator reports directly to the Chief Executive Officer.

KEY RESPONSIBILITIES

COMMUNITY ENGAGEMENT IN MISSION
Metrics:
Integrate the NKFW mission and brand in all aspects of NKFW services, programs, and events.

Tasks:
Develop content for social media, website, and collateral materials for services, programs and events.
Collaborate with design, print or marketing vendors or volunteer experts as required.
Research and develop personal narratives of community members, event participants, medical professionals, and patients and their families
Conceptualize and create video content for various visual mediums, including YouTube and NKFW website.
Collect and analyze data to evaluate effectiveness of engagement strategies.
Collaborate with other staff on all fundraising events to increase engagement, attendance, volunteer participation, and revenue.
Develop annual and quarterly implementation timeline for community engagement tasks for services, programs and events.

CORPORATE COMMUNICATIONS
Metrics: Coordinate organization-wide design, messaging and content to achieve consistent and high quality external communications.

Tasks:
Manage organizational master communications plan and calendar.
Serve as liaison with National Kidney Foundation national office to ensure alignment with National messaging.
Support the development and implementation of collateral materials for organizational initiatives.
Develop and implement communications to recruit event or organizational volunteers.
Identify opportunities to promote or recognize NKFW volunteers throughout the state.
Responsible to develop and maintain NKFW newsletter(s) and an Annual Report.
Manage external exhibit or special requests for NKFW presence, speakers or materials.
Expand the Giving Tuesday campaign.
Responsible to promote National campaigns, professional events, and constituent programs including: Kidney Cars, Team Kidney, March is Kidney Month and Donate Life Month.
Identify prospects and secure underwriting for corporate communications.
Collaborate on the ongoing efforts to improve NKFW website.
Train and oversee volunteers or interns performing communications-related activities.
Promote the NKFW and its services, programs and events through social media and other electronic communications platforms, as assigned.

50TH ANNIVERSARY (2018) ACTIVITIES
Metrics:  Create statewide visibility and increased engagement in 50th anniversary celebration activities of the National Kidney Foundation of Wisconsin.

Tasks:
Catalog NKFW materials and document milestones in the NKFW’s history.
Create 50th Anniversary-related materials.
Develop and implement an external media plan for 50th Anniversary activities.
Coordinate internal and external communications of all 50th Anniversary events and activities.

EVENT PROMOTION
Metrics:
Meet or exceed individual and group attendance goal for each fundraising event
Increase percentage of financial contributions of individuals attending each event

Tasks:
Develop, implement, and evaluate event-related marketing and communications for each event.
Plan and implement relevant event-related print, social media, mobile, web, and electronic communication for each event.
Ensure ‘event capture’ activities which may include: photography, video, audio, live streaming or social media.
Produce post-event analysis utilizing feedback from participants, attendees, and volunteers.

THIRD-PARTY EVENTS OR NKFW PROFESSIONAL/CONSTITUENT PROGRAMS
Metrics:
Ensure NKFW sponsored or supported events reflect appropriate mission messaging and promote ongoing opportunities for engagement with the organization

Tasks:
Support or implement appropriate promotional activities as requested or assigned.
Represent the NKFW as assigned.
Provide support to ensure timely recognition and data entry of event/program participants, monetary/in-kind contributors, and volunteers in NKFW database.

OTHER
Metrics:
Collaborate and support NKFW staff or volunteer leaders to ensure positive experiences for the participants in NKFW programs, activities, or events

Tasks:
Actively network to build or enhance personal relationships with participants, sponsors, contributors and volunteers.
Propose creative ideas to improve quality and to grow event, program, activities, and services participation and revenue.
Contribute suggestions on how to improve the overall quality of NKFW processes and operations.
Provide staff support for other NKFW sponsored community screenings, educational programs or trainings as requested.
Perform additional tasks to support the effective operation of NKFW.

QUALIFICATIONS:

  1. Degree in communications, public relations, marketing, or relevant field preferred; significant work experience may substitute for the degree.
  2. Demonstrated experience in three or more of the following: customer service, research, marketing, sales, media relations, corporate communications, public speaking, or volunteer management.
  3. Experience with Facebook and Twitter required. Experience with LinkedIn, Google+, Tumblr, Instagram, and interactive technologies – live streaming, GoToMeeting – preferred.
  4. Proficient with Outlook, Word, Excel, PowerPoint, and photo and graphic design software. Photography or video experience a plus.
  5. Experience working with communications contractors or vendors – printers, graphic designers, etc.
  6. Ability to work effectively with individuals from diverse backgrounds.
  7. Ability to manage several projects simultaneously.

  9. Able to write coherent written business communication.
